An AI receptionist answers your phone or your messages when you cannot, takes the details, answers the questions with known answers, books appointments into your real calendar, and passes everything else to a human with a clean summary. What an AI receptionist genuinely does well
- After-hours and overflow. This is the strongest case by far. The calls you currently miss, evenings, weekends, when you are on a job or with a patient, get answered, detailed, and booked. You are not replacing anyone; you are catching what currently falls on the floor.
- The same twelve questions. Opening hours, service area, whether you handle X, rough pricing where you allow it. Questions with known answers get answered instantly and identically every time.
- Booking and rescheduling. Reading your real calendar, offering slots, confirming, and sending the reminder that cuts no-shows. For clinics and appointment businesses this alone can justify the setup.
- Message-taking that is actually useful. Instead of "someone called", you get the caller's name, number, what they need, and how urgent it sounded, logged where you will see it.
What it cannot do, and should not be allowed to try
- Distressed or angry callers. A customer with a flooded kitchen or a complaint does not want a cheerful synthetic voice. The agent's only job here is to recognise the situation fast and get a human on it, with context.
- Emergencies. Anything where a wrong answer has real consequences needs a hard rule: immediate transfer or immediate callback, stated clearly to the caller. This rule gets written before the system takes its first call.
- Negotiation and judgement pricing. "Can you do it for less" and "how much for something complicated" both route to you. An AI receptionist quoting judgement prices is how you end up honouring a number you never set.
- Regulated advice. Clinics, brokers, legal-adjacent trades: the receptionist can book the consultation, and must not give the advice. If your industry has compliance rules, they apply to your AI receptionist too.
- Callers who just need a person. Some percentage of your callers, often your best customers, want a human and will be annoyed by anything else. The escape hatch ("say talk to someone and I will transfer you") must be real and must be easy.
How it plugs into the phone you already have

The AI is better at 2am, at never being on the other line, and at answering the same question the two hundredth time exactly as well as the first. The strongest setups for small teams use the AI for after-hours and overflow, and keep humans for the conversations that need one.

What happens when it misunderstands a caller?
It will, occasionally, and the build must assume so. Three protections: an easy escape to a human at any point, a hard rule that anything resembling an emergency or a complaint transfers immediately, and transcripts of every call so misunderstandings get found and fixed rather than repeated.
